After-hours calls: four ways to handle them

Voicemail, forwarding to a mobile, an answering service or an AI voice agent. How each handles calls after you close, and how to pick one.

There are four practical ways for a small business to handle calls after hours: a voicemail greeting that does real work, forwarding calls to a mobile or an on-call roster, a human answering service, or an AI voice agent that answers, takes details and books. Which one fits depends on how urgent your night calls are and what you want waiting for you in the morning.

First, decide what an after-hours call actually is

Look at the calls you already get outside your hours; a week of notes is enough. They usually fall into three groups:

  • Urgent jobs: a burst pipe, a locked-out customer, a booking for tonight. Someone needs to act soon.
  • New enquiries: a quote request, a question about prices or availability, a first booking. Nobody needs to act tonight, but the caller may ring the next business on the list.
  • Routine admin: moving an appointment, checking opening hours.

A café and a plumber need very different answers. If you have no true emergencies, you do not need anyone awake at 2am, just the caller handled and the details waiting for you.

Option 1: a voicemail greeting that does real work

Voicemail is on almost every business line at no extra cost. The problem is the default greeting that says nothing useful.

A good after-hours greeting does four things in under 30 seconds:

  1. Names the business, so the caller knows they rang the right place
  2. Gives your hours and when you will call back, in plain words
  3. Tells urgent callers what to do, if you offer urgent help
  4. Points to a faster path for simple questions, such as your website or a text number

Then someone checks the messages first thing and calls back. A message left until lunchtime breaks the promise the greeting made.

Where it falls short. Many callers do not leave a message, and a message you cannot reply to until morning does not book anything tonight.

Option 2: forward calls to a mobile or an on-call roster

If you get real emergencies, forwarding makes sure a person hears them: your line rings through to the owner's mobile or whoever is on call.

On Australian mobile networks you can usually choose when forwarding happens. Telstra's own support page lists four types for mobiles: forward all calls, forward when you do not answer, forward when your phone is switched off or out of coverage, and forward when you are already on a call. It also says an unanswered call forwards after 15 seconds by default, and that you can change this to anything from 15 to 30 seconds in 5 second steps. Codes differ between providers and between mobiles and landlines, so check your own provider's page.

Where it falls short. Someone is always on the hook, including on weekends. It also does not filter: the person on call gets the burst pipe and the "what time do you open?" call alike. And if the on-call person does not pick up either, the call lands in their personal voicemail, not yours.

Option 3: a human answering service

An answering service puts a trained person on your line when you cannot answer. They greet the caller with your business name, take a message, and pass it on by text or email. Some will follow simple rules, such as ringing your on-call number for an emergency.

Pricing is usually built from a monthly plan plus a charge per call, and some plans add a surcharge for after-hours calls. The per-call charges are where the cost moves.

Where it falls short. The operator works from a script, not from deep knowledge of your business, so detailed questions often end with "I'll pass that on". They usually take messages rather than book jobs. A busy night also costs more. For a longer comparison, see AI receptionist, answering service or hiring.

Option 4: an AI voice agent

An AI voice agent answers the call in a natural voice, using information you have approved: your hours, services, service area and the questions you hear every week. It can take the caller's details, book into your calendar where that is connected, and send you a summary, so the morning starts with a list instead of a pile of voicemails. More on that in what an AI voice agent can do for a small business.

For after-hours work, the useful part is the rules. You decide what counts as urgent: for example, take the details and alert you straight away, while a routine booking waits until morning. It should never invent prices or promise a time you have not agreed.

Where it falls short. It needs a proper setup: the answers, the urgent rules and the handover written down and tested before it takes a real call. Some callers prefer a person, so it should offer to take a message. It is not an emergency service.

Many businesses end up with a mix. A common pattern is an AI voice agent for every after-hours call, with urgent ones forwarded or alerted to the person on call. Another lighter option is missed call text back, which texts the caller you missed and carries on the conversation by SMS.

How to choose

  • Mostly routine calls, customers happy to wait: start with a better voicemail greeting and a morning call-back habit.
  • Real emergencies at night: forwarding to an on-call mobile, ideally with something in front of it that filters the routine calls.
  • You want a person on every call and a message is enough: an answering service.
  • Enquiries and bookings you are losing after hours: an AI voice agent, with urgent calls forwarded or alerted to you.

Whichever you choose, ring your own number after closing once a month, the way a customer would.

Common questions

What is the cheapest way to handle after-hours calls?

A clear voicemail greeting and a habit of calling back first thing. It costs nothing extra on most lines, but relies on callers leaving a message.

Can I forward after-hours calls to my mobile only when I do not answer?

On most Australian mobile networks, yes, including forwarding only when you are busy or out of coverage. Check your provider's support page, because codes differ.

Will an AI voice agent tell callers it is not a person?

A well-set-up agent answers honestly if a caller asks, and offers to take a message for you if they would rather speak to someone.

Can an AI voice agent handle emergencies?

It can follow your rules for urgent calls, such as taking the details and alerting you straight away. It is not an emergency service, and anything dangerous should be directed to 000.

Do I need a new phone number for after-hours answering?

Usually not. Most setups forward from your existing number; the exact route depends on your provider.

Can I text back callers I missed after hours?

Yes, with missed call text back. Texting is covered by Australian rules on commercial messages, so check the Australian Communications and Media Authority guidance or consult your adviser about how your business is affected.
