AI receptionist, answering service or hiring in Sydney?

Three ways to get the phone and the inbox covered, compared on cost, coverage and fit, so a Sydney small business can pick one without guessing.

If you run a small business in Sydney, the phone rings at the worst moments. You are under a car, halfway through a haircut, serving a queue, or asleep. Somebody has to answer, and the question is who. There are three realistic options: hire a person, use a human answering service, or set up an AI receptionist. This post compares them on the things that matter to a small business, so you can pick one without guessing.

What you actually need covered

Before comparing, write down what has to happen when a customer reaches out. Most small businesses need five things.

  • Someone answers, or replies, quickly, on whichever channel the customer used
  • Common questions get a straight answer: hours, prices, service area, parking
  • Bookings, appointments or quote requests get captured with a name and a way to reach the customer
  • Anything unusual reaches a person, with the details already collected
  • It works outside opening hours, or at least on the days nobody is free

Notice that "sounds exactly like a person" is not on the list. What matters is that the customer gets an answer and you get the details.

Option 1: hire a receptionist

A person on your team is the best option when your volume is steady, your customers want a familiar face, and you have a front counter to staff anyway. A good receptionist handles the odd cases no script anticipates, notices when a regular sounds off, and does other jobs between calls.

The trade-offs are cost and coverage. A wage is a fixed cost whether the phone rings or not, and one person covers one shift. Holidays, sick days and lunch breaks leave gaps. For a business with a very quiet phone, or one that is busiest after the doors close, a full-time hire rarely makes sense.

Option 2: a human answering service

Answering services staff a call centre that picks up for many businesses. You give them a script and your hours, and they take messages or transfer calls. They are useful when you want a human voice and you need cover for part of the day.

Things to ask before you sign up: how calls are priced (per call, per minute, monthly bundle), how many different businesses an operator juggles, whether they can book into your calendar or only take a message, and what happens to messages left overnight. The person answering usually knows your business only through the script, so unusual questions tend to become messages for you to chase.

Option 3: an AI receptionist

An AI receptionist is software that answers messages and, if you add a voice agent, phone calls. It answers from information you approve: your hours, services, prices and service area. It asks what the customer needs, collects the details, books where it is connected to your calendar, and hands over to your team when a person should step in.

The chat assistant runs month to month, and so does the voice agent, so you can stop if it is not earning its place. Phone numbers and carrier costs, and third-party accounts such as WhatsApp Business, are set up in your name and listed in the proposal.

How to choose

A few rules of thumb that hold for most small businesses:

  1. If the problem is volume during opening hours, a person on the counter is hard to beat. Software helps most at the edges of the day.
  2. If the problem is missed calls and after-hours messages, software or an answering service is the cheaper fix than a hire. Compare what each does with the details it collects.
  3. If your customers message more than they call, check which channels each option covers. Many answering services handle phone only.
  4. If you cannot say what your top ten questions are, start by writing them down. Whatever you choose will work better for it.

Common questions

Is an AI receptionist the same as a chatbot?
